Google Workspace Suspended for Cold Email: Recovery Path
The first hour
- Pause every campaign using the affected mailbox in your sequencer.
- Do not reroute volume to the remaining mailboxes. That is how one suspension becomes five.
- Note the exact message from Google: bounce text, admin console alert, or sign in message. It tells you which kind of problem it is.
- Check the other mailboxes on the same domain and tenant. Are they still sending normally?
- Pull the last two weeks of send data for the mailbox: daily volume, bounces, any new list.
Which suspension is it?
Temporary sending limit. Google applies daily sending limits per user. On paid Workspace accounts the published limit is 2,000 messages per user per day, lower on trial accounts, and there are separate limits on recipients and unique external recipients. Exceed them and the user gets a temporary block, often with a bounce that mentions a sending limit. It typically lifts within 24 hours. What to do: stop sending from that mailbox, wait for the limit to reset, then return at a much lower daily cap. If you hit this limit in cold email you were sending far more than is safe for placement anyway.
User suspended for suspicious activity. An individual user is suspended by Google, often shown in the Admin console with a note about suspected spam or terms violation. What to do: A super admin checks the user's status in the Admin console. If Google offers a review request, submit one honestly: explain the business, that the mail is legitimate B2B outreach, and the steps you have taken (lower volume, verified lists, opt out handling). While under review, keep that mailbox fully paused.
Account or tenant suspension. The whole Workspace account is suspended. Every user is affected. What to do: Contact Google Workspace support (or your reseller, if you bought through one). Prepare evidence: domain ownership, business details, your sending practices. Expect this to take time, and plan for the possibility it is not reinstated.
Why cold email mailboxes get suspended
Volume spikes, especially on new mailboxes, or far beyond what a person would send. High bounce rates from unverified lists. Spam complaints from poorly targeted sends. Fragile licences. Mailboxes on education, nonprofit, or otherwise unsupported tenants tend to get flagged in groups. Many users created at once on a new tenant and pushed straight into campaigns. Payment or verification problems on the tenant itself.
Recovery: coming back safely
Once a mailbox is restored:
- Start back with warmup only for several days.
- Return to campaigns at a low daily cap.
- Use a freshly verified list.
- Raise volume slowly across weeks.
- Watch bounces and replies on that mailbox daily for the first two weeks.
If a mailbox is not restored, retire it and replace it with a new mailbox on a healthy domain, warmed from scratch. Do not reuse the same pattern that caused the suspension.
Preventing the next one
Spread volume across more mailboxes and domains with modest daily caps. Two or three mailboxes per domain so one domain is not carrying everything. Official paid Workspace licences on tenants you control. Verify lists and keep bounce rate low. Honour opt outs quickly. Keep outbound off the primary domain, so a suspension never touches your company email. Spare capacity, so pausing one mailbox does not tempt you to overload the others.
Agencies: contain the blast radius
If you run multiple clients, a suspension on one client should never affect another. That requires separate domains and ideally separate tenants per client, separate mailbox pools in your sequencer, and clear records of which mailbox belongs to which client.
When ColdMail fits
ColdMail cannot stop Google from enforcing its policies, and no provider can. What it does is reduce the setup causes behind many suspensions. Mailboxes are official Google Workspace seats on dedicated domains, with SPF, DKIM, DMARC, and MX published automatically, an official admin panel per domain with 2FA, and real time monitoring and alerts so you see trouble early. AI warmup is available as an add on for safe ramps. ColdMail sits under Instantly, Smartlead, or n8n, so your campaign settings and volume discipline remain yours.
