Google Workspace Sending Limits for Cold Email

What Google publishes (confirm on their page)

Always recheck Google's sending limits page before you set policy. As of the research pass for this draft, paid Google Workspace accounts show:

2,000 messages per user per day as the general daily sending limit.
1,500 for mail merge style sends.
500 for trial accounts.
Separate limits on the number of recipients.
A send pause of up to 24 hours after a limit is hit.
Daily limits apply over a rolling 24 hour period, not a set time of day.

Google says the limits exist to keep systems healthy and accounts safe, and that they can change without notice. The linked page is the source of truth.

What the limit is not

Not a cold email recommendation. Sending hundreds of unsolicited messages a day from one mailbox does not look like a person at work.

Not a placement guarantee. You can stay under 2,000 and still land in spam if complaints, bounces, and authentication are wrong.

Not shared across the domain as a pool you can game. Limits are per user account. Adding mailboxes adds per user ceilings; it does not make reckless per mailbox volume safe.

Sender guidance still applies under the ceiling

Google's public sender guidelines require every sender to personal Gmail accounts to set up SPF or DKIM and keep the spam rate reported in Postmaster Tools below 0.3 percent. Senders of more than 5,000 messages a day to Gmail also need SPF, DKIM, and DMARC, plus one click unsubscribe for marketing and subscribed mail. You can be well under the daily send limit and still fail this bar. Limits and guidelines answer different questions: one is will Google let this account send, the other is will Gmail want to put it in the inbox.

Caps cold email teams actually use

Common operator practice (not a Google rule, approved as sizing guidance in earlier ColdMail drafts):

Weeks 1 to 2: Warmup only, no campaign volume
Weeks 3 to 4: Roughly 10 to 20
Steady state: Roughly 20 to 40, including follow ups

Stay near the bottom of the range on young domains, dirty segments, or after a complaint spike. Capacity for a larger daily target comes from more mailboxes on more dedicated domains, not from climbing toward 2,000 on one seat.

What counts toward Google's limit

Google's page lists messages that count toward the user limit, including mail sent from the user's aliases, mail sent by delegated users, and vacation responder replies. Automatically forwarded messages are not included in the daily sending limit and have their own limit. Mail routed through Google's SMTP relay service has separate limits.

Practical rule for cold email operators: assume everything the mailbox sends draws on the same daily budget, including sequencer first touches and follow ups, manual replies, and warmup traffic. Keep cold volume far below the published ceiling so manual work and retries still fit.

What happens when you hit the limit

Google's help text says the user cannot send new messages for up to 24 hours. In a sequencer that looks like failed sends, delayed steps, and a sudden hole in the campaign graph. It is a hard stop, not a soft throttle you should plan to touch. If a mailbox hits Google's limit during cold email, the daily cap in your sequencer was wrong.

Designing volume under Instantly or Smartlead

  1. Set a per mailbox daily limit in the sequencer in the operator range above.
  2. Rotate across mailboxes and across domains.
  3. Include follow ups in the cap math.
  4. Keep new mailboxes in warmup before they take campaign load.
  5. Connect with the methods Instantly and Smartlead document (OAuth or IMAP/SMTP with app passwords).
  6. Remember that a mailbox assigned to several campaigns has one daily limit shared across them in both tools, so count every campaign in the cap.

Worked sizing example (illustrative)

Target: 300 cold sends per day steady state.

At 30 per mailbox: 10 mailboxes.
At 2 to 3 mailboxes per domain: about four domains.
Plus spare capacity still in warmup if you are still ramping.

Google's 2,000 per user limit never enters the math except as a remote ceiling you should never approach.

When limits and suspensions get confused

Hitting a sending limit is temporary and documented. An account restriction or suspension for complaints or terms issues is a different event and can last longer.
